The "Build It and They Will Come" Fallacy

Many clinics invest heavily in software that includes a secure Patient Portal, hoping it will reduce call volumes and empower patients to access their own lab results. Yet, months later, adoption rates hover in the single digits. Why? Because software requires behavioral change.

Staff Training is Step One

Your patients will not use the portal if your staff doesn't actively promote it. The front desk must stop answering requests with, "I'll print that out for you," and start saying, "I've uploaded that to your secure portal. Let me show you how to log in."

Make It the Path of Least Resistance

Humans take the easiest path. If calling your clinic takes 2 minutes and logging into the portal takes 5 minutes of password resets, they will call. To drive adoption:

  • Magic Links: Use software that sends secure, temporary "magic links" via SMS so patients don't have to remember passwords.
  • Exclusive Availability: Release lab results to the portal 24 hours before your staff is available to discuss them by phone. Curiosity drives logins.
  • Mandatory Intake: Require new patients to fill out their intake forms digitally via the portal before their first appointment.

By making the portal the primary hub for all communication, you train your patient base to rely on it, drastically reducing administrative overhead for your team.
